A structured approach

From worker registration
to attendance visibility.

Keep the worker’s profile, approval journey and work assignment connected throughout the process.

01 / CONTRACTORS

Organise the starting point.

Maintain contractor business and statutory details, enable contractor portal access and manage worker profiles.

02 / APPROVALS

Define the route to approval.

Use induction approvals with assigned approvers, or the administrator-controlled non-induction route.

03 / OPERATIONS

Connect people to work.

Assign approved workers to work orders and use gate passes and attendance reports to support daily administration.

The worker lifecycle

A clear path
through every stage.

Give each team a defined part in the worker onboarding and attendance process.

The workflow supports worker applications through contractor and internal department access, with actions governed by login permissions.

Understand the approval routes
  1. Create the worker profile

Enter the worker’s details through the contractor or internal department portal.

  2. Review the application

The responsible internal team reviews the application and determines the approval route.

  3. Complete the required approvals

Assigned approvers review induction tests. The administrator handles non-induction approval.

  4. Generate the biometric code

An approved worker receives a biometric code. Rejected induction tests prevent code generation.

  5. Assign the worker to a work order

Select the worker, section and position to link the worker with the relevant work order.

  6. Enrol biometrics and issue the gate pass

Register the worker on the attendance device and preview or print the gate pass using the company, contractor, work order and worker selection.

  7. Monitor attendance and reporting

Review worker status, attendance, contractor mandays and work-order summaries.

Controlled approval workflows

Two approval routes.
A defined decision at each stage.

Route 01

Induction approval

The administrator selects the induction test types and assigns an approver for each test. The worker must receive approval for all required tests before a biometric code is generated.

A rejected induction test prevents biometric code generation.

Route 02

Non-induction approval

Where induction is not required, the worker follows the non-induction approval route. Approval remains an administrator-controlled action.

The worker proceeds to the next stages only after the required approval.

Biometric registration alone does not complete the documented attendance workflow. Work-order assignment is required for the attendance process described in the manual.

Frequently asked questions

Understand the process.

Can contractors manage their workers through a separate login?

Yes. The documented contractor portal supports worker profiles and gate-pass applications. Contractor access is enabled through the contractor master.

What happens when an induction test is rejected?

A biometric code is not generated if a required induction test is rejected. All required induction tests must be approved before the worker progresses through that route.

Can a worker follow a non-induction route?

Yes. Where induction is not required, the administrator reviews and approves the non-induction application.

How are gate passes printed?

Select the company, contractor, work order and worker in the Gate Pass module, then preview and print the pass.

Can we review the workflow for our own plant?

Contact our sales team to discuss your contractor structure, induction process, work orders and attendance requirements. Available modules, device compatibility and implementation scope can be confirmed during the walkthrough.
